1. The personal data we collect
We collect only the information needed to handle your freight enquiry and to operate the website:
- Identifiers you send via the contact form — full name, business email, telephone number.
- Shipment details you choose to share — origin, destination, commodity, weight, Incoterm.
- Communication records — emails, WhatsApp threads and call notes between you and our coordinator.
- Technical data — IP address, browser type, referring page, timestamp and pages viewed (collected via standard server logs and, with your consent, analytics).
2. Why we collect it
We process your data on the following bases:
- To respond to your enquiry, generate a quotation, and execute a freight booking (necessary for the contract).
- To comply with Malaysian customs, anti-money-laundering and export-control obligations.
- To improve our website and service offering, on a legitimate-interests basis.
- To send service updates and operational notices.
We do not use your data for unsolicited marketing without your explicit opt-in.
3. How long we keep it
Enquiry data that does not result in a booking is retained for 24 months. Shipping records and supporting documents are retained for 7 years from the date of the relevant declaration, in line with Malaysian customs record-keeping requirements. Server logs are retained for 12 months.
4. Who we share it with
Within the limits of carrying out your shipment, we share necessary data with:
- Carriers, airlines and shipping lines named on the Bill of Lading or Air Waybill.
- Customs authorities and other regulators (e.g. MAQIS, SIRIM) to lodge declarations and permits.
- Our overseas partner desks at the destination of your cargo.
- Service providers contracted for IT hosting, email and accounting — bound by written confidentiality.
We do not sell personal data to third parties.
5. International transfers
Because freight forwarding is cross-border by nature, your data may be processed outside Malaysia by our destination partner desks or carriers. We require those parties to maintain a standard of protection broadly equivalent to the PDPA.
6. Security measures
We apply technical and organisational measures including TLS encryption in transit, encrypted at-rest databases, role-based access controls, and quarterly access reviews. Access to shipper records is restricted to coordinators handling a particular booking.
7. Your rights under the PDPA
You have the right to ask us:
- What personal data we hold about you and to receive a copy.
- To correct any inaccurate or out-of-date data.
- To stop processing data for marketing purposes.
- To limit access of your data where you have legitimate grounds.
